Blackstone Education are working with a college based in Lewisham who are looking to recruit an Exam officer for an immediate start. 

Hours - 8.30-4pm

Rate of Pay - £18.35 per hour

Paid weekly!

Contract length - Immediate start - December 2025

Job Purpose:

Ensuring the effective, timely and Joint Council of Qualifications-compliant administration, scheduling, resourcing and recording of all College examinations.

Principal Accountabilities:

  • Accurately entering, registering and monitoring of students for exams and qualifications, in accordance with College procedures and in compliance with awarding organisation regulations 
  • Ensuring sufficient exam resource (including Invigilation) has been scheduled and booked for students’ examinations both on line and on paper
  • Preparing exam timetables and communicating these in a timely manner to the relevant parties
  • Storing, preparing and issuing exam papers and materials in a timely way that complies with awarding organisation regulations and that will withstand unannounced inspections
  • Issuing and recording of exam certificates, in accordance with College procedures and Awarding Body Guidelines.
  • Administering, preparing and scheduling examination support for students in a timely and compliant manner as defined by Awarding Organisations
  • Advising the Exams Team and Exam Team Leader on issues relating to qualifications for the set of awarding organisations allocated
  • Keep abreast of and communicate all changes relating to awarding organisation regulations and qualifications to relevant staff and lecturers
  • Delivering Invigilation Training and ensuring Awarding Body Compliance during College Exams
  • Invigilation of exams as required – both paper-based and on line in the OLAC
  • Making decisions on behalf of the College regarding individual student queries and complaints in accordance with College Policies and Awarding Body Regulations but ensuring that complicated or important decisions are referred to the Head of MIS and Exams or other senior manager
  • Keeping student exam records up-to-date and accurate. Working with other MIS staff to ensure that the completion, achievement and destination is audit compliant for Individualised Learner Record (ILR) submissions and Awarding Organisations
  • Develop the use of Electronic Data Interchange (EDI) and other IT systems for student exam entries and results where this can assist in improving accuracy, efficiency and reducing costs
  • Ensuring that proper archives are kept of student exam results to enable students to obtain official confirmation of their results in future
  • Checking and processing invoices received from Awarding Organisations for all funding streams and Awarding Bodies, against exam entries and awarding body costs for the Head of MIS and Exams
  • Working as part of a team and assist in the delivery of the MIS Department’s service to staff and students
  • Enrolment duties in September, on evenings and on occasional Saturdays as required by the Head of MIS & Exams
  • Covering for other staff of the same level in periods of leave or absence

Person Specification:

  • NVQ 3 Administration or equivalent experience (Essential)
  • Knowledge of office and administrative systems (E)
  • Understanding of and commitment to confidentiality about personal data (E)
  • Understanding of qualifications and commitment to accurate and efficient administration of exams process (D)
  • Knowledge of the Further and Higher Education Sector (D)
  • Experience in the use of IT, including spread sheets, email, and word processing (E)
  • Experienced in the use of Customer Service Skills (E)
